A guided workspace to classify, validate, and complete applicant-uploaded documents

We provides a focused review interface where case handlers validate applicant uploads one by one. Each file is classified by type, checked for validity, and enriched with the right metadata fields. Ensuring consistent decisions, faster processing, and clean audit trails.

Why a structured, one-by-one review ensures consistency, compliance, and speed

Unstructured uploads slow teams down: files arrive in mixed formats, names might not reflect content, and requirements differ per program. Case handlers spend time chasing missing details.

Applicant Document Validation standardizes this work. We present each uploaded document in a clear viewer with an accompanying control panel. The case handler selects the document type (e.g., proposal, bank statements or financials etc), marks it valid or invalid, and fills metadata fields that appear automatically based on the selected type. After saving, the next document appears, until all are processed. When the loan/program rules are satisfied, the document stage is completed automatically.

Consistent classification and decisions
Every document is reviewed the same way: type → validity → required metadata. No guesswork, no inconsistent interpretations.
Right fields at the right time
Metadata fields appear dynamically based on document type (e.g., amounts for proposals, is a match checkbox for proof of address, expiry date for licenses).
Direct loop with “Request Extra Documents”
Invalid or unclear uploads can trigger a structured request to the applicant with a reason and a deadline. Replacements return directly into the validation queue.
Build your AI training data
By tagging document types and filling metadata, you generate training data that enables suggested classifications and metadata prefill over time. Accelerating future reviews.

Frequently asked questions

Can metadata fields vary by document type?
Yes. The loan/program configuration determines which fields appear for each type (e.g., proposal amount/work type, address match checkbox, license expiry).
Why validate documents one by one?
Archiving, tagging, compliance, flexibility, and automation. A controlled, per-document review guarantees correct classification, captures the right metadata, produces reliable AI training data, applies rules programmatically, and creates a complete audit trail. Bulk/unstructured review can't ensure these outcomes.
Is one by one slower?
Case handlers don't waste time piecing together the overall state or guessing what's already been checked. The structured flow reduces rework, prevents errors, and cuts back-and-forth with applicants. Reviewing each file takes only seconds when everything is presented clearly and consistently.
What happens if a document is invalid or unclear?
Mark it invalid and request a replacement via Request Extra Documents. The applicant receives a reason and deadline; the new file returns directly to the validation queue.
How does the system know when the document step is finished?
When all document requirements defined by the loan program rules are met (types present, metadata satisfied), the step completes automatically.
What if I don't require anyy doucment uploads?
Then this step simply doesn't appear. Programs that require zero documents skip Applicant Document Validation entirely. Keeping the workflow clean and friction-free.
